FAQ

Frequently asked questions

These are the questions employers, candidates and partners ask most often. If yours is missing, write to us.

For employers

How do I report my staffing need?

Through the employer questionnaire. It takes you through seven sections: company, contact person, position, pay, requirements, housing, remarks and consent.

Filling it in takes about fifteen minutes. After sending, you receive a reference number by email.

What does a placement cost?

A placement fee falls due only on successful placement. We agree the amount with you in writing beforehand.

Reporting a staffing need through the website commits you to nothing and triggers no payment obligation.

When is the placement fee due?

Only when the placement is successful. The placement agreement sets out the timing and what counts as success. Reporting your need triggers no payment.

Which costs do we bear ourselves?

Accommodation for the first months or help with finding a home, plus onboarding in your business. Fees for recognition and the visa are paid by you or by the person, depending on what you agree. We go through the details with you in a call.

What happens after we say yes?

You sign the employment contract directly with the person. Where needed, recognition and the visa follow, then entry and the start of work. Regalis coordinates the documents and remains your contact.

Can I report several positions in one request?

Yes. In the questionnaire you add more positions below the first one, up to ten in one request. For each position you state the job, number of people, start date, German level and accommodation.

Will I hear when something happens in a case?

Yes. For a new stage or a new document, you receive a short email: at most one per case and day, and right away when it is your turn. You can switch these emails off in your portal under “Account”.

Can I add the appointments to my calendar?

Yes. Every confirmed appointment has a calendar file. In your portal you can also subscribe to all appointments as a calendar. You create the address yourself and can replace it at any time.

How long does a placement take?

That depends on the occupation, on the evidence and on the procedure. Search and pre-selection are in our hands, the official steps are not.

That is why we name no fixed deadlines. Once a case is running, we tell you which step is under way.

What level of German do the candidates have?

That varies. Some candidates have already completed a course, others are just starting with the language.

We record the level on the European scale from A1 to C2. Tell us in the questionnaire which level the job really calls for.

Are foreign qualifications recognised in Germany?

Many occupations have a procedure for the recognition of qualifications. Whether and how it applies depends on the occupation and on the federal state.

In care and in some technical professions, recognition is often a condition for the work. We support the gathering of documents, but we do not decide on recognition.

As an employer, do I need to arrange accommodation?

For the first months, you provide accommodation or actively help with finding a home, for example with contacts to landlords, a temporary solution or a contribution to the rent. One of the two is part of every placement through Regalis; we recommend providing accommodation, because it makes it easier for candidates to accept.

Regalis does not provide accommodation and does not sign tenancy agreements. We record your offer in the questionnaire and explain it to the candidates in their own language.

Who do I sign the employment contract with?

Directly with the employee. Regalis is not a party to the contract and never acts as the employer.

You or your advisers draw up the draft contract. We tell you which details the authorities usually expect to see in it.

Will my vacancy appear in public?

Only if you agree. In the questionnaire you can allow us to show the job on the candidate pages without naming the company. Visible are then the occupational group, the industry, the federal state and the German level required. We also show the number of people wanted as a size band, the preferred start as a month and whether accommodation through the company is possible.

The company name, the town, the pay and the reference number are never shown. You can withdraw your agreement at any time with effect for the future. Without your agreement your request stays entirely internal.

How do I see the status of my request?

Every request gets a reference number. In the employer area you sign in with your email address.

There you can see for each case where it stands and what happens next. You do not need a password for it.

Can we have a short call first?

Yes. On the intro call page you see our free times and book one yourself. The call takes twenty minutes and runs by phone or by video.

It costs nothing and commits you to nothing. With an email address you receive the appointment for your calendar and a link to cancel.

How do I get access to the candidate pool?

Talk to us. We open the pool for single accounts once we have discussed your staffing need.

After that you find the pool in your account next to your requests. The link appears there only while the access lasts.

What is the fast-track procedure for skilled workers?

A procedure that the employer starts at the responsible foreigners authority, acting with a power of attorney from the skilled worker. The authority then coordinates with the other offices. A fee is charged for the procedure, and the authority names the amount.

The skilled worker still applies for the visa at the German mission abroad. The procedure comes with no promise about the outcome or the duration. Our guide on the fast-track procedure has more on this.

Which occupations do you recruit skilled workers for?

We place skilled and other workers with employers in Germany, mainly in care, skilled trades, construction, logistics, hospitality and hotels, and industry and production. Examples include nurses and nursing assistants, electricians, plumbing and heating technicians, welders, bricklayers, professional drivers and cooks.

Whether we find suitable candidates for your job depends on the occupation, the proofs and the German language skills. Tell us what you need, and we will tell you openly what is possible.

What does it mean if an occupation is regulated?

A regulated profession may only be practised in Germany with a state licence or a recognised qualification. Nursing is one example. The skilled worker then needs recognition of their qualification before working in that occupation.

In non-regulated occupations, for example many technical and commercial occupations, recognition is not required for the work itself. For entry as a skilled worker, however, it is often required. The Recognition in Germany portal shows whether an occupation is regulated.

What happens if the recognition finds differences?

The competent authority then confirms partial equivalence. The notice lists the substantial differences from the German qualification. This is not a rejection.

The differences can be closed, for example through an adaptation course, an examination or a qualification in the workplace. The authority names the options. As an employer you can often help, for example with a place for the course.

As of: October 2026 · Source: Recognition in Germany

Can a skilled worker start with us before recognition?

In certain cases yes, through the recognition partnership. The skilled worker then enters Germany before recognition and works in your business while the procedure continues in Germany. As the employer, you commit to making it possible to close the differences.

The detailed requirements, for example on the qualification and German language skills, are set out by the German mission abroad and the foreigners authority. Whether this route is possible in your case is decided by the authorities in the individual case.

How are people trained in Uzbekistan and Türkiye?

In Türkiye, vocational training usually starts at vocational upper secondary schools. There are also short vocational programmes and degree courses at universities, and nursing is a degree course there. In Uzbekistan, the vocational route leads through colleges and technical schools with a lot of practice, alongside university degrees.

Many candidates from both countries also bring work experience, not always with a certificate. Whether a qualification is equivalent to a German one only becomes clear through recognition. We record what is documented and what is not.

For candidates

How do I register as a candidate?

You create a profile through the form. It asks about your person, your occupation, your training, your languages and your wishes.

The form has eight short steps. We then review your profile and get in touch if something is missing.

I already live in Germany or in another EU country. Can I apply?

Yes. Citizens of the EU, the EEA and Switzerland need neither a visa nor a work permit to work in Germany. Depending on your occupation, your qualification may need to be recognised, for example in nursing.

You register like every other candidate. If you hold another nationality, it depends on your residence permit. Please ask us.

What does registering cost me?

Registering with Regalis is free of charge for candidates.

If you hear anything different, please ask us directly.

Which documents should I upload?

The important ones are your CV, your school and training certificates and any other certificates. References from earlier employers help as well.

You can upload PDF files or photos. Missing papers can be added to your profile later.

What happens when a document expires?

For every document you can enter an expiry date, for example on a language certificate or a driving licence. The entry is optional.

If a document expires within the next two months, your profile shows a note. We then get in touch, so that the new version is there in time.

Do I need a criminal record certificate?

Yes. A current criminal record certificate is mandatory for the placement. When you show it to us, it must not be older than six months.

Please apply for it in good time, as it often takes some time to be issued. Do not upload it. Before the placement we will ask you to show it to us. In your profile you find the way for your country and confirm there when you applied for it and when you have it.

Do I have to speak German?

Yes. As a rule we place candidates with German at level A2 or higher and a recognised certificate. If you do not have the certificate yet, you can still register and add it later.

In care and in roles with customer contact, employers usually ask for an intermediate level. In production and logistics, A2 with a certificate remains our standard. Say honestly where you stand and whether you attend a course.

How is accommodation arranged?

If the company provides accommodation or helps you find a home, we explain this to you in your language before you are presented. For accommodation, we also tell you the rent, running costs and duration.

Regalis itself does not provide accommodation and does not take any money from you.

Who is my employer?

The company you work for. Your employment contract is signed directly with that company.

Regalis is not your employer and does not lease you out to a company.

As of: September 2026 · Source: Federal Ministry of Labour and Social Affairs

Can I change my details later?

Yes. The sign-in link opens your profile at any time.

There you can change your details, upload new documents or remove old ones. Please keep your telephone number and your availability up to date.

Can I turn my profile into a CV?

Yes. In your profile you open a print view of your CV, in German or in English. The layout follows the pattern that is common in Germany.

The view is created in your browser only. Nothing is transferred to us. Through the print dialogue you save the CV as a PDF on your device.

What is the quick application?

A short form for a first contact. It has two short steps and needs no documents.

We get in touch with you afterwards. You complete your full profile later, at your own pace. With an email address you receive your own access straight away.

How do I know a contact really works for Regalis?

Every contact has a personal code. On our check page you enter the code and see at once whether it is registered with us.

Our work is free of charge for candidates. If anyone asks for money, pay nothing and please tell us.

What is the candidate pool?

The pool is a list of released profiles. Companies in Germany with access search there themselves for suitable people.

You decide whether your profile is listed. In your profile you add yourself and remove yourself at any time.

Does my qualification have to be recognised before I can work?

That depends on the occupation. In regulated professions, such as nursing, you need recognition or a licence before you may work in that occupation. In many other occupations it is not required for the work itself, but it is often needed for a visa as a skilled worker.

In certain cases you can also enter Germany before recognition and complete the procedure there. The competent authority and the German mission abroad tell you what applies to you.

As of: October 2026 · Source: Recognition in Germany, German federal law online

How do I start the recognition of my qualification?

The first question is which German occupation matches your qualification and which authority is responsible. The Recognition in Germany portal helps with this. It also shows which documents the authority asks for.

You usually need certificates, proof of your training and work experience, and translations. As a rule, you submit the application yourself. We help you collect the documents, but we do not decide on recognition.

Why is it worth knowing the German technical terms?

Letters from authorities and employers in Germany are usually in German. Words such as Anerkennung, Aufenthaltstitel or Vorabzustimmung come up again and again. If you know them, you understand faster what it is about and can ask specific questions.

Write down the terms that appear in your documents. If you do not understand a word, ask your local partner or us.

How do I recognise fake recruiters?

Be careful if someone asks for money for a job, a visa or a place on a list. The same applies if someone firmly promises a visa or a job or pushes you to pay quickly. Contact only through a messenger without company details is also a warning sign.

With Regalis, candidates pay nothing. Every Regalis partner has a personal code that you can check on our verification page. If in doubt, ask us directly.

What level of German do I need?

That depends on the residence title, the occupation and the job. The levels on the European scale range from A1 to C2. In care and in jobs with customer contact, more is usually required than in production.

There is no fixed level for everyone. The competent authority, the German mission abroad or the employer tells you which level you need to prove. It is proven through recognised examinations.

For partners

I know companies that need staff. Can I recommend Regalis?

Yes. You sign up on the page for referral partners. We have a short call with you and then send you the terms in writing.

With the approval you receive a personal referral code. If your recommendation leads to a placement, you receive a fee from us. Candidates never pay for it.

Who are the local partners?

People in the countries of origin who approach candidates for Regalis, hold the first conversation and review the papers. They speak the candidates' language.

They remain the contact person until the first day at work. All details come together at Regalis in Germany.

How do I become a local partner?

Write to us through the contact form and tell us your country, town and experience. If it fits, we talk with you and conclude a written agreement.

You then receive your access details for the partner area. When you first log in, you set your own password.

May partners take money from candidates?

No. Our work is free of charge for candidates. This applies to registration, advice and placement.

Partners do not accept money, not even for a place on a list or faster handling. They receive their fee from Regalis. If anyone asks for money, please report it to us.

How do I check that a partner really works for Regalis?

Every partner has a personal code. Enter the code on our verification page and you see at once whether it is registered with us.

You find the code on your partner's business card, notice or message. If in doubt, ask us directly.

In which countries do local partners work?

In Uzbekistan, in Türkiye and in Pakistan. In Greece we are building cooperation with language schools for German. Further countries follow once the network there is strong enough.

The partners introduce themselves on our pages with their town, languages and industries.

Which language do partners use with candidates?

The candidates' language. Candidates ask their partner questions in their own language, right up to the first day at work.

We look after employers from Germany in German or English.

Which papers do partners collect?

Always needed are the CV, the passport and the signed letter of consent. Certificates, references, language certificates and proof of qualifications come on top, where available.

Partners upload papers only in the partner area, never by chat, email or messenger.

For which occupations do partners look for candidates?

Mainly for occupations in which employers in Germany are looking for staff: care, skilled trades, construction, logistics, hospitality and hotels, and production. Partners see which jobs are currently open in the partner area under “Job postings”.

Only approach candidates for jobs that match their training and experience. This saves everyone time and disappointment.

How do I explain recognition to candidates?

Explain it in simple words: an authority in Germany compares the qualification with a German occupation. The result is set out in a notice that confirms full, partial or no equivalence. Partial means that the differences can be closed.

Never promise candidates a result or a duration. Only the competent authority decides on recognition.

As of: October 2026 · Source: Recognition in Germany

What do I do if someone falsely claims to be a Regalis partner?

Please tell us immediately through the contact form or as a message in the partner area. Include the place, the name and the way of contact, as far as you know them. We check the report and get back to you.

Point candidates to our verification page. There they can use the code to see whether someone really works for Regalis.

What must partners not promise candidates?

No job, no visa, no recognition and no timeframe. None of this is in your hands or in ours.

Do not promise any advantages for money either, such as a better place on a list. Our work is free of charge for candidates. Say openly what comes next and what is still uncertain.

Candidates from the EU

Do I need a visa as an EU citizen?

No. As an EU citizen you need neither a visa nor a work permit to work in Germany. A valid identity card or passport is enough to enter the country.

After arrival, the company guides the first steps. Regalis stays available for your questions.

Does my qualification need to be recognised?

Only in regulated professions, for example in nursing. In most occupations in hospitality, hotels, metal, construction and transport, the company hires you without recognition.

The responsible authority in Germany decides on recognition. We tell you early whether your occupation is one of them.

Do I need German skills?

The law requires no German skills from EU citizens. Many companies want German at A2 level or above, and it improves your chances.

In hospitality and construction, many companies are happy with English or colleagues who speak the same language. If you are learning German, enter your goal in your profile.

What costs do I have when I move?

Placement through Regalis is free of charge for you. You pay for travel, the move and living costs yourself, unless the company helps, for example with housing for the start.

Ask the company in the interview what it covers.

Does the company help me with housing?

With a placement through Regalis, the company provides housing for the start or actively helps you find a home.

You learn what the company offers before you accept.

Who do I sign the employment contract with?

Directly with the company. Regalis is not your employer and does not lease out workers.

Read the contract calmly before you sign. We are happy to answer questions about the process, but we do not give legal advice.

Is there a probationary period?

Many employment contracts in Germany include a probationary period. Whether there is one and how long it lasts is set out in your employment contract.

During the probationary period, a shorter notice period applies than afterwards.

Do I need vocational training?

The law requires no vocational training from EU citizens. Many companies want work experience in the occupation, and training or certificates improve your chances.

For some positions, for example as a helper in a kitchen, a hotel or on a building site, experience and reliability matter most. In regulated professions such as nursing, however, the qualification has to be recognised.

Can I return to my home country later?

Yes. As an EU citizen you can return at any time. The notice period is set out in your employment contract.

Talk to your company early if you want to leave.

Who pays Regalis for the placement?

The company, after a successful placement. We never ask candidates for money.

If anyone asks you for money in our name, please tell us.

Entry and residence

How does entry to Germany work?

First there has to be an employment contract or a binding offer. The candidate then applies for the right visa in his or her home country.

The procedures differ by country of origin, by occupation and by individual case.

As of: September 2026 · Source: Federal Foreign Office, Federal Office for Migration and Refugees

What does skilled worker immigration mean?

It is the legal framework for the immigration of workers and skilled staff. It offers several routes, for example through a recognised qualification or through work experience.

Which route fits is decided case by case. This information does not replace legal advice.

As of: September 2026 · Source: Make it in Germany, Federal Employment Agency

Who prepares the documents?

We coordinate the collection and tell both sides what is needed. The employer supplies the company papers, the candidate the personal ones.

The authorities alone decide on applications. We have no influence on how long they take.

As of: September 2026 · Source: Federal Foreign Office, Federal Employment Agency

How long do the procedures take?

That depends on the country, the authority and the occupation. How complete the papers are also plays a large part.

We deliberately name no fixed periods. We do tell you, however, which step is currently running.

As of: September 2026 · Source: Federal Foreign Office

General and our model

What exactly does Regalis do?

Regalis places international workers and skilled staff with companies in Germany. We record the staffing need, look for suitable candidates through our network abroad and present them to the company.

After that we support the way to the first day at work. This includes coordinating the papers for employment, entry and residence.

Why is this not staff leasing or temporary agency work?

Because we employ nobody and lease nobody out. Regalis carries out no temporary agency work (Arbeitnehmerüberlassung) and no staff leasing.

The employment contract is signed directly between employer and employee. We are not a party to that contract.

As of: September 2026 · Source: Federal Employment Agency

Which countries do you recruit from?

We place skilled workers from the EU and from selected non-EU countries. Our key countries are Uzbekistan, Türkiye and Greece, and partners in further countries work for us as well, for example in Pakistan.

Candidates who already live in Germany are just as welcome. Selection follows the requirement profile, not the country a candidate comes from.

Do you place staff only in Germany?

At present we work with employers in Germany. We plan to build up further European countries.

If you are an employer outside Germany, write to us. We will say openly whether we can help you yet.

Which languages can we use with you?

The website and our forms are available in German and English. The candidate area is also available in Turkish, Russian and Uzbek, and further languages are planned.

Our contacts in the country of origin speak to candidates in their own language. Employers are looked after in German or in English.

What is the fastest way to reach you?

For a concrete staffing need, please use the employer questionnaire. That way we have all the details we need at once.

For short questions the contact form is enough. We usually reply within a few working days.

I have little time. Can you call me back?

Yes. The employer pages carry a short call back form. You give us your name, your company, your telephone number and a time window.

We will call you in the window you picked. We need no further details for that.

What is a referral code?

A referral code belongs to a local partner or to somebody who recommended Regalis. If you arrived through a personal link, the code is already in the form. Otherwise you enter it yourself in the last step.

Nothing changes for you. A placement through a partner costs you nothing, and your profile is treated like every other. The field is voluntary. Without a code everything carries on just the same.

Data and security

What happens with my data?

We use your details to prepare and carry out the placement. We do not use them for advertising.

The particulars are set out in the privacy policy. You will also find the legal bases for the processing there.

Who sees my candidate profile?

At first only Regalis and the contacts who look after your profile. We pass it to employers only once you have consented.

You can withdraw your consent at any time with effect for the future. A short message by email is enough.

How are my documents stored?

Documents sit in protected storage, separate from the remaining data. Access is limited to authorised users who are signed in.

A download is possible only through a personal access. There are no public links to your papers.

Can I have my data deleted?

Yes. Write to our email address and we will delete your profile.

Data that we must keep by law is excluded. We will tell you on request which data that is.

Why do I need no password?

For your access we work with sign-in links sent by email. That way there is no password to lose or to steal.

The link is valid for a short time only and works once. Please do not pass it on.

After you click the link, a page with the button “Sign in now” opens. Only this button signs you in.

Accounts that we hand out ourselves sign in with a password as well. That applies to our staff and to the local partners, not to your access.

As a second way you can set up a passkey. Your device unlocks it with a fingerprint, your face or a PIN. Inside your access you can add a passkey at any time and remove it there again.

Where can I see which devices I am signed in on?

Inside your access you find your open sessions. We show the start, the last use and a rough note about the device.

You can end all other sessions there with one click. That helps if you have lost a device.

Do you track which advert brought me here?

The address sometimes carries additions such as utm_source. They name the channel, not you as a person. When you send a form, we store them with your enquiry.

We store nothing on your device for this. No user profile is built, and we set no advertising cookies.

What do you store when I book an appointment?

Your name, your telephone number and the time you picked. The company, the email address and the topic are optional.

With an email address we send a confirmation with a calendar file and a cancellation link. The link holds a random character string, of which we store a check value only. Without that link nobody can see or cancel your appointment.

Can I change the address I sign in with?

Yes. Write to us and tell us which address should apply from now on. We move your access over, as long as the new address is still free.

Open sessions end in the process, and we write to both addresses. That makes it noticeable if the change did not come from you.

What do I see in the candidate pool?

You see released profiles without names and without contact details. Listed are occupation, country, language skills, work experience, qualification level, preferred regions and the earliest start.

Of the proofs only the kind and the number are shown. You receive documents and contact details after speaking with us.

Who can see me in the candidate pool?

Only companies in Germany that we have given access to. They see a reference, no name and no contact details.

Your photo appears only if you give separate consent for it. Every view is logged.

Your question is not here? Write us a short note about it. We usually reply within a few working days.
